Apply to hold an event

If you are interested in putting together an event, you'll need to consider insurance, security, licensing, and more. Our training and guidance documents will guide you through any of the processes you may be required to complete.

To begin the process, you will need to complete an event enquiry form on the Event App website. You'll need to sign up or log in to your account. 

Please provide us with as much detail as possible so that we can assess your proposal and get you booked into the calendar.

You will need to include:

  • organiser information 
  • event description
  • event location
  • event dates, including any setup and breakdown dates
  • what temporary infrastructure will you use such as gazebos, bouncy castles or toilets
  • estimated attendance numbers

You will also be asked about licensing and potential road closures.

Whether you are planning to host your event on our land or on private land, you should complete the enquiry form. It will guide you to the relevant information and departments you will need, such as licensing.

Event application

When you have completed your event enquiry form, you will be invited to upload further information onto the Event App website including:

  • further organiser details and invoice information
  • confirmation that you have public liability insurance for a minimum of £5 million
  • risk assessment for your event
  • fire risk assessment for your event
  • a site plan
  • full event information, including security, waste, medical cover, and emergency planning

Depending on your event, we might also ask for more information and safety documents.

Timescales

Full and final applications must be sent to us at least eight weeks before your event. Larger events will need longer lead-in times. However, we recommend sending us your application well before your proposed event date to avoid any issues.

Applications that do not meet our submission deadlines will be refused.

Events on council land

You will need our permission to hold an event on our land. Find out if we own the land you want to use.

Permission will be granted if you provide the necessary documentation and meet our terms and conditions. 

Once your application has been approved and all fees have been paid, we will give you a site hire permit. You must keep this permit at the event.

If you need keys, a collection will be arranged before the event day. We will also give you out-of-hours contact details to use in an emergency.

After the event

All keys must be returned after the event and debriefs should take place if appropriate. The site must be returned to the condition it was in before the event.
