Privacy notice - Workwell Allied Health professional hub

The Workwell Allied Health Professional (AHP) Hub and why you are eligible

You and your Workwell work and health coach have identified that the AHP Hub may offer beneficial intervention of up to six sessions over with an Allied Health professional.

The AHP Hub is run by clinicians from backgrounds such as occupational therapy and physiotherapy, with specialist expertise in how your health can impact your ability to function at work.

Where we got your information

When you joined Workwell, Bristol City Council explained that your information may be shared, to give you the best service for you.  While the Workwell work and health coaches work for Bristol City Council, the Workwell AHP Hub clinicians work for North Somerset Council. We are all part of the same team, so Bristol shared your details with us, in order to provide you with the sessions.

What information is collected about you and who it is shared with 

Bristol City Council have provided us with your name, contact details, GP details, and any other details that you provided to them when you joined Workwell. This may also include whether you consider yourself to have a disability, and your ethnicity.

We do need to retain this information, in order to provide you with the best service to you, including making any adaptions necessary if you advise us that you have a disability or medical condition.  This is in accordance with our statutory requirements under the Equalities Act. 

Your data will be held and used in accordance with the requirements of UK and European data protection law. All data captured as part of the service is stored securely, and treated as confidential. Your data will only be accessed by professionals involved in your care and will be handled in line with strict confidentiality standards. The only time we would break this confidentiality is if we became aware of a risk to yourself or others, or if we are legally obligated to do so.

We may share specific information with your GP and other relevant healthcare professionals, where we believe it is in your best interests for us to do so. You will be advised if this occurs, unless there is a compelling legal reason to do so without notification.

At the end of our intervention we will share a summary of the outcomes and necessary actions with your Workwell work and health coach.

We do not use any profiling or automated decision making, although there may be times when anonymised information is analysed using Microsoft Co-Pilot, a secure artificial intelligence system.

We will retain your records for six years following your last contact with the service.

Legal basis for processing 

The lawful bases for processing personal data specified within this agreement as required by UK General Data Protection Regulation are:

6(1)(e) Public task

The processing is necessary to perform a task in the public interest or in official functions, and the task or function has a clear basis in law. 

Article 9(2)(g) Public task

Processing is necessary for reasons of substantial public interest and is authorised by domestic law (See section 10(1)(c) of the DPA2018).

9(2)(h) Health or social care

Processing is necessary for the purposes of preventive or occupational medicine, for the assessment of the working capacity of the employee, medical diagnosis, the provision of health or social care or treatment of the management of health and social care systems and services on the basis of union or member state law or pursuant to contract with a health professional and subject to the conditions and safeguards referred to in paragraph 3.

If you don’t want to take part anymore

Taking part in the Workwell AHP Hub is completely your choice, and you can stop at any time without giving a reason. Your benefits will not be affected whether you choose to participate or not.

If you decide to stop, we won’t ask for any further information, but we may use the details you’ve already shared to help us evaluate the service. This will be anonymised. We’ll also let your Workwell work and health coach know that the intervention has ended.

Your rights

You have the right to see the personal data we process about you, as well as the right to request erasure of your records, objection to processing, rectification of records and restriction of processing or destruction. You can do this by making a subject access request or by emailing our data protection team at dpo@n-somerset.gov.uk.

You can also report any concerns to the Information Commissioner’s Office.
